This Travel Agreement (“Agreement”), together with the Terms and Conditions, located at https://app.tern.travel/public/terms_of_service, sets forth the terms under which Suitcases & Sushine LLC (“Agency”, “we”, “us”, or “our”) will provide travel research and planning services to you (including all travelers on the same booking) (“you” or “your”). By signing this Agreement, submitting payment authorization, or remitting payment for the planning fee, you agree to be bound by the terms below and by our Terms and Conditions.

1. EFFECTIVE DATE AND TERMINATION

This Agreement becomes effective when:

• You provide written, digital, or electronic signature;
• You submit payment authorization; or
• You remit payment of the Travel Planning Fee.

This Agreement will remain in effect until your trip is completed or the Agreement is otherwise terminated in writing by either party.

2. PLANNING FEE STRUCTURE

The Travel Planning Fee is non-refundable and is separate from and in addition to the cost of your actual travel. This fee covers research, proposal development, and itinerary planning services only. All planning fees are quoted upfront and must be paid in full before planning services begin.

• All Planning Fees are NON-REFUNDABLE, whether or not you decide to book travel.
• All planning Fees are NON-REFUNDABLE, even if you cancel your trip.
• This Agreement is separate from your agreements with any travel suppliers, e.g., airlines, hotels, tour operators, cruise lines, and any other suppliers.

3. SERVICES INCLUDED

A service fee is required before the start of this engagement to perform the professional services required to plan and arrange your travel. This fee is non-refundable and does not constitute a deposit towards your trip. The engagement of Suitcases & Sunshine LLC is to provide you with the following:

• Discuss your needs and suggest a suitable travel package.
• Research and coordinate all aspects of your travel arrangements as discussed.
• Organize your travel from beginning to end, including flights, accommodation, transport, and tours.
• Provide guidance for required documentation, visa requirement information from your designated country, and the World Health Organization (WHO) recommendation for vaccinations.

4. PROPOSAL FORMAT AND PRICING

Your itinerary proposal may include various components such as accommodations, flights, cruises, activities, ground transportation, and more. In some cases, bundled or packaged pricing may be presented rather than itemized line-by-line, in accordance with supplier confidentiality agreements.

5. COMMUNICATION EXPECTATIONS

Prompt and timely communication is essential. As outlined in our Terms and Conditions, pricing and availability are subject to change and are not guaranteed until booked. Any delay in responding to proposals or quote options may result in changes to availability or pricing.

6. AGREEMENT TO TERMS

By signing or submitting payment, you acknowledge that you have read and agree to the terms of this Agreement and the Terms and Conditions, which are incorporated herein by reference.
